at Unbounded Labs - Tampa Florida Headquarters

We are seeking a highly organized and responsible office assistant to join our growing organization. You will be responsible for helping to manage the efficient functioning of our office through a range of administrative and financial tasks. As the first point of contact that our clients see, one of your many roles will be to maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.


  • Greet and direct visitors as soon as they arrive at the office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and marketing materials)
  • Receive, sort and distribute daily mail/deliveries
  • Order office and lab supplies; restock areas as needed
  • Bookkeeping duties using QuickBooks Online
  • Ensure that all work/materials are invoiced to customers; ensure timely payment
  • Assist with travel and expense reports
  • Assist in planning company events, meetings, luncheons, and employee team building activities or special projects
  • Maintain the office condition and arrange necessary repairs, to include working with the IT department
  • Perform other clerical receptionist duties such as filing, photocopying, and transcribing
  • Other miscellaneous duties as required by management


  • Energetic, resourceful, and proactive self-starter
  • A creative mind with an ability to suggest improvements
  • Proven work experience as an assistant, front office representative, bookkeeper, or similar role
  • Solid communication and interpersonal skills
  • Strong organizational skills; detail-oriented; ability to prioritize tasks
  • Proficient computer skills, including Microsoft Office Suite and QuickBooks Online
  • Experience using Microsoft Dynamics is a plus
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • High school degree; additional certification in Office Management is a plus
